With a detailed set of requirements like that?

Windows 95 with Trumpet Winsock and Turnpike should do the trick.

Assuming some kind of domestic as opposed to corporate email.

    MacMini
    Mailserve
    http://cutedgesystems.com/software/MailServeForLeopard/

Takes about 40 seconds to get incoming and outgoing email up and running.

I *also* have a old core single MacMini that is surplus to requirements
(Thanks to Alan and son in law), which I have been using for my own mail
for a couple of years with never a hiccup.

Also, as a self confessed clueless twat, I'd happily negiotiate a full
service of setup and so on.

If you are thinking about business type stuff, then we'd need some more
requirements defined, but could probably help there as well.

  4. All the server needs be able to do is collect and store email and
allow other machines access to the e mail and net through it ,
current machines run either xp or vista .
Needs to be idiot proof and simple to set up .

You don't need a server, just buy an email service from any of the
hundreds of domain hosting companies out there.

Well the Mini ran email for my company for years with nary a hitch.
Picks up email from anywhere you like, and then stores it. Can be
accessed as either POP3 or IMAP, and with the correct set up, from anywhere.

About the only thing I couldn't do was get a webmail interface to the Mini.

    It'll be a cheap solution.

Feel free to email me at chris at systemlabs dot co dot uk if you want.

database and spreadsheet extensions which i use and so do some of my
    suppliers .

emails and the girls as well .

Well, you'll need to be able to control the mx records for your domain.
    Can you do that?

I'd tell them to stop being daft and just provide the email service.
trouble is, if all you want is email and a bunch of POP3 mailboxes,
you're right at the arse-end of the hosting market and anything that
deviates from a fully-automated norm is hardly worth the effort.

'Mail server' and 'idiot proof' doesn't really go too well together
unless you want to become spam central.

Cheapest solution is likely to be a machine running Linux, postfix,
amavisd w/SpamAssassin and a ton of plugins for the latter. Oh, and
    Dovecot for IMAP access.

If all of the above sounds very Greek to you, /don't/ do it.

    Almost certainly
Mail eXchange records. It's basically the IP address of a computer that
know where to put your email.
    Fucking awful here.

Transferring a domain to a different provider does not convey ownership.

It does, however, convey potential arse-ache should arrangements need to
    change in the future.

Sure, but for anyone non-technical having the domain, email hosting and
web hosting at the same provider will probably be a better idea than
    mucking around with DNS records.

Any flavour of Linux in "Server Install" mode and Postfix. Job sorted
and a piece of piss to set up.

Or, as Champ suggested, go down the gmail route. Some of the
departments in my Co have done this and aside from some issues (such
as meeting requests not being processed, IIRC) it's been okay.
